Studio knowledge base, project tracking, and client intake
Notion is the studio's operating layer. Every active project lives in a database with status, timeline, deliverables, and client notes in one place. The structure stays consistent across engagements so nothing gets lost between tools — briefs, feedback rounds, asset handoffs, and invoicing checkpoints all track in the same system.
Paco Bot, the studio's internal AI assistant, connects to Notion via the API. Intake forms from new project inquiries write directly into the database. Paco can query project context, pull deliverable status, and surface relevant past work — without anyone manually updating a spreadsheet.
The knowledge base side holds style guides, brand guidelines, vendor contacts, and process documentation. It's the place where studio knowledge doesn't walk out the door when a project wraps. Everything that needs to be findable later goes in Notion.
